Every module, on every plan.

Syntroza PA is not a task manager with add-ons. It is one system covering the work, the money, the people and the promises — because those are not separate problems in a real business.

Dashboard

What actually needs me today?

The dashboard is the product. It loads in one request and answers eight questions before you click anything: what needs you now, what is overdue, what is due today, what is coming, how each project is doing, what cash you can move, who owes you something, and what changed since you last looked.

  • Priorities split into Critical attention, Needs attention and Upcoming
  • Every ranked item carries the reason it was ranked there
  • Project health as a colour and a written explanation, never colour alone
  • Cash position, waiting items and recent activity on the same screen

Projects

How is this actually going?

A project is a real body of work — a product, a client engagement, a campaign. Progress is calculated from milestones where you have them and from completed tasks where you do not, so the number is never a stale figure somebody typed in optimistically three weeks ago.

  • Milestones, merged timeline, budget tracking and project members
  • Progress computed from real completion, and read-only in the API
  • Health rated green, amber or red from overdue work and deadline proximity
  • Every verdict shows its reasons, so a red dot is never a mystery

Tasks

What can I actually do right now?

Tasks hold the work you can personally act on. Subtasks live inside their parent, recurring tasks spawn their next occurrence the moment you complete them, and a task that blocks another task ranks higher because of it.

  • Subtasks, labels, comments, attachments and blockers
  • Daily, weekly, monthly and yearly recurrence that clamps to real dates
  • Saved views: Today, Upcoming, Overdue, My tasks, Completed
  • Bulk complete, re-status, re-prioritise or delete from the list

Inbox

Where do I put this before I forget it?

One box that never asks you a question. Type the thought, press Enter, carry on with your day. Processing is a separate act you do when you have the context — turn the item into a task, a project, an idea, a note, a calendar event or a contact in a single click.

  • Capture takes one keystroke and zero decisions
  • Convert to any of six record types, with the fields pre-filled
  • The item records what it became, so processing is auditable
  • Reachable from anywhere with the global quick-add

Waiting For

What is stuck on somebody else?

The module most tools are missing. Work blocked on another person is not a task — you cannot do it — and mixing the two makes your task list lie about what is actionable. Waiting items get the person, the company, the project and the date you expected them.

  • Tracks the signed contract, the deposit, the quotation, the approval
  • Flags itself for a chase the day the expected date passes
  • Links to the contact and the project it belongs to
  • Surfaces on the dashboard so nothing rots quietly

Finance

What can I safely spend?

Operational cash control, not accounting. Five numbers, always current: available, expected, outstanding receivables, upcoming expenses and net position. Amounts are always stored positive and direction comes from the transaction type, so a sign error can never invert your cash position.

  • Income, expenses, receivables, payables and debts in one ledger
  • Payments tied to the project and the client they belong to
  • Past-due money turns overdue on its own and reaches your dashboard
  • Your own currency, defaulting to KES and configurable per workspace

Contacts

What of mine is tied up with this person?

Deliberately not a CRM. Enough to reach someone, and — more usefully — one page showing every task with their name on it, everything you are waiting on them for, every payment between you, and every note and meeting.

  • People and companies, with tags and free-text notes
  • A related view spanning projects, tasks, waiting items and money
  • Linked from tasks, waiting items, transactions, notes and events

Calendar

What is happening, and when?

Month, week, day and agenda views over meetings, appointments, deadlines, events and important dates. Events can point at the project and the person they belong to, so a deadline is never floating free of the work it belongs to.

  • Four views, with a range query behind each so large calendars stay fast
  • Events linked to projects and contacts
  • Reminders that fire once and land in your notifications

Notes and Ideas

Where does the unstructured stuff go?

Notes are Markdown, folders and tags for anything that does not fit a schema. Ideas are a parking lot with one firm rule: an idea never becomes a task on its own. Capturing a thought must not quietly create a commitment, so conversion is always something you choose.

  • Notes with folders, tags, pinning and project links
  • Ideas with status, category, potential value and a review date
  • Explicit conversion of an idea into a project, task or note

Ask PA

Can I just type what I want?

Ask what is overdue, how a project is doing, what you are waiting for, or how your cash looks — and get a real answer from your real data. Tell it to create a task with a due date and it will, after showing you exactly what it is about to do.

  • Understands plain English today, with no AI and no external service
  • Sixteen operations across reading and creating records
  • Anything that changes your data asks you to confirm first
  • Asks a clarifying question rather than guessing at a mutation

Notifications and Activity

What did I miss, and who changed what?

Notifications are raised by deterministic rules — overdue tasks, approaching deadlines, late waiting items, money due — and deduplicated so the same alert cannot reach you twice in a day. Activity is an append-only record of who did what, to which record, and when.

  • Alerts for overdue work, deadlines, waiting items and payments
  • Info, warning, critical and success levels, each with a label
  • A complete audit trail, which matters the moment a second person joins

Workspaces and teams

Can I keep my businesses separate?

Completely. Every record in Syntroza PA belongs to exactly one workspace, and no workspace can read another's data — a property the test suite attacks from four different angles on every change. Run your agency, your side business and your personal life without them ever touching.

  • Unlimited workspaces, switchable from the top bar
  • Owner, admin, member and viewer roles
  • Unlimited team members on every plan
  • Per-workspace currency, timezone and week start
